What renting a van in Dubai actually costs

There is no admin fee, no cleaning fee unless the vehicle comes back needing it, and no charge for a second named driver.

Take a 3-Ton Chiller Van for one week. The weekly rate is AED 2,200. VAT at 5% adds AED 110, so the part of the bill we can tell you in advance is AED 2,310, and that figure already contains the insurance, the registration, the servicing of both the vehicle and the refrigeration unit, delivery in Dubai and 1,000 km of running.

A refundable deposit of AED 2,000 is held on that vehicle. It is not a cost, but it is cash out of the business for the length of the hire, which is worth knowing if you are pricing a job on a tight month rather than simply comparing rates.

Then the variable lines. Fuel is billed at cost, on the difference between how the van went out and how it came back, and we do not quote a fixed figure because UAE pump prices are reset monthly. Salik is at cost per crossing, so it follows your route and nothing else. Both are predictable to you, because you know the route; neither is predictable to us.

Excess mileage only appears if you pass 1,000 km in the week. On the chiller van that is AED 0.80 a kilometre, so a week that runs 1,200 km adds AED 160. Knowing that in advance is the whole point of the line: if your week genuinely runs long, tell us and we will price the route rather than let it accumulate.

So the all-in figure for that week is AED 2,310, plus your fuel, plus your Salik, plus any excess kilometres, with AED 2,000 held and returned. Every quote we give is built the same way, and if you ask for the all-in number that is what you will get rather than the headline rate.

For contrast, the smallest version of the same exercise: a Toyota Hiace for a single day is AED 180, plus AED 9 of VAT, with AED 1,000 held as a deposit and 150 km included. A move inside Dubai rarely needs more than that, so for most one-day hires the variable lines come down to a tank of fuel and whatever Salik gates the route happens to pass.

The wrong size vehicle is the expensive one. A van booked one size too small turns a job into two trips, and a second trip costs a second load, a second unload, a second run of fuel and Salik and, often, a second day of hire. The saving on the rate is tens of dirhams; the cost of the second trip is most of a working day.

Time lost to access is the next. A vehicle that cannot clear the height barrier, or that arrives outside a building’s permitted moving hours, or that waits while a service lift is booked, is a vehicle being paid for and not used. None of that reaches the invoice and all of it reaches the job.

Driver hours matter on longer days. A driver day covers up to nine hours, so a route planned to finish inside that and a route that habitually runs past it are different costs. Plan the round to the hours rather than discovering them at the end of the week.

Fuel follows the vehicle you chose as much as the distance you drove. Taking a larger vehicle than the job needs is paid for twice, once in the rate and again at the pump, which is why over-specifying “to be safe” is rarely the safe option financially.

And a load lost to a failure, on cold-chain work, dwarfs every other number on this page. That risk is why insurance, servicing and a replacement vehicle sitting inside the rate is worth more than a lower headline figure that leaves them out.

Cleaning is the one to keep in mind on food and site work. There is no cleaning fee unless the vehicle comes back needing it, and on most hires it does not. A chiller body returned with residue in the floor channels, or a van returned full of site dust, is the exception, and ten minutes with a hose before the return is the easiest saving on this page.
